Exhibitor hotel booking checklist

Exhibition accommodation gets tight long before the show opens. This is the order we recommend working through it with your team.

1. Confirm your on-site dates first

Stand builders and crew usually arrive before the official opening day and leave after tear-down. Set the earliest arrival and latest departure across your whole team before you look at rooms, so you only book once.

2. Size the room block, not the head count

Count rooms rather than people: who shares, who needs a single, and whether senior staff or clients need a separate hotel. A rough block booked early is easier to trim than to extend.

3. Judge hotels by travel time to the venue

Distance in kilometres matters less than the journey during show hours. On each Kemet event page we show the distance from the venue and a transport note for every hotel so you can compare on that basis.

4. Decide how people move each day

Airport-to-hotel and hotel-to-venue transfers can be requested alongside your rooms. Transfers are quoted per request rather than priced up front, because vehicle size and timing change the cost.

5. Agree who approves the deposit

Rooms are held once a deposit is paid, so make sure the person who can approve that payment is in the loop early. You can pay online immediately, or send a booking request and have our team come back to you.
